Microsoft Teams Privacy & Security Policy

At FinFit Investments, we understand that financial wellness is deeply personal and sensitive. Whether you are joining our financial coaching, therapy, literacy, or education sessions online through Microsoft Teams or in-person, your privacy, confidentiality, and security are our highest priorities.

1. Confidentiality & Anonymity

  • All information shared during sessions is treated as strictly confidential.

  • Participants are never required to disclose personal financial details publicly unless they choose to do so.

  • Features such as private chat, anonymous participation options, and limited attendee visibility are applied where possible to safeguard anonymity.

2. Data Privacy & Use

  • No personal or financial data will be recorded, shared, or disclosed without your explicit consent.

  • Any information collected for educational or research purposes will be anonymised and reported only in group or aggregated formats.

  • Your individual data will never be shared with your employer or any third party unless you grant written permission.

3. Session Security

  • FinFit uses Microsoft Teams Professional under a secure Microsoft 365 Business Suite account, which is compliant with data protection standards in Namibia, the EU, and other jurisdictions.

  • Meetings are password-protected and invite-only. Links are not shared beyond intended participants.

  • Recordings (if any) will only occur with prior consent, and access will be restricted to authorised FinFit personnel.

4. Safe Participation

  • You are encouraged to participate freely in a secure, respectful, and non-judgmental environment.

  • You may choose to turn off your camera, mute your microphone, or use chat/Q&A functions if you prefer anonymity.

  • FinFit facilitators are trained to protect participants’ comfort and to moderate discussions responsibly.

5. Data Collection & Storage

  • FinFit may collect minimal data (e.g., name, contact details) for session administration or follow-up support.

  • Data is securely stored in Microsoft 365 Business Suite and accessible only to authorised FinFit staff.

  • No third-party providers or unauthorised individuals have access to your data.

6. Your Rights

In line with data protection regulations (including GDPR where applicable), you have the right to:

  • Access, update, or request deletion of your personal information.

  • Withdraw consent for the use of your information at any time.

At FinFit Investments, we want every participant to have a smooth, stress-free experience when joining our financial wellness sessions through Microsoft Teams. This Help Policy explains where you can get assistance before and during our sessions.

1. Technical Support for Joining Sessions

  • Each Teams session includes a unique, secure link. Please ensure you are using the most recent version of Microsoft Teams (desktop, mobile, or web browser).

  • If you encounter difficulties accessing the session or setting up Teams, you can contact our support team:

2. Guidance for First-Time Users

  • Step-by-step joining instructions will be included in your invitation.

  • You may also visit Microsoft Teams Help & Learning for general instructions.

3. Organisation IT Policies

  • Please note that some organisations may have internal IT restrictions that limit access to external Teams meetings.

  • If you are joining from a workplace device and experience access issues, please contact your organisation’s internal IT department for assistance.

4. During the Session

  • A FinFit facilitator or support contact will be available to help you with connection issues through the chat or via the support email/phone line.

  • If you are disconnected, simply re-click the Teams link in your invitation to re-join.
